How to Bulk Upload Assets - Owned, Rentals, or Consumables (Desktop)

Power Users and anyone with the "Add Asset" permission can bulk upload your entire asset inventory, or a subset of your inventory into Tenna. This can be done for either Owned Assets, Rented Assets, or Consumables.

NOTE:

Bulk uploads can only be done on a desktop, not in the Tenna App.

Pro Tip:

Lean on your resources to gather your asset data! A thorough job up front will set you up for success.

IT - Provide a data dump from your ERP, Maintenance Program, Fleet System, or other systems.

Vista Users - Tenna has a SQL query that you can run to export key fields from the Vista Equipment Master, EMEM.

Insurance Rep/Broker - Provide all VINs (they have this for insurance purposes) - specifically, your Insurance Audit List (at least for Equipment/ Fleet).

Finance/Accounting - Asset cost related data fields.

Select "Assets" from the left-hand navigation.

Select "Create Asset" on the top right.

Alternatively, you may select "Asset" from the "Create" dropdown menu on the top navigation on any page.

Select "Bulk Upload".

Select "Owned (Standard Assets)", "Owned (Consumables)", or "Rental".

NOTE:

The templates are different for each, so these asset types will be bulk-uploaded separately.

Click the link to download the appropriate Bulk Upload Template and open in Excel.

Enter your asset information carefully including all required fields as indicated by the *asterisk and as noted in Tenna's help resources.

Pro Tip:

Save your bulk upload template as an .xls file while you are populating it. Remember that in a .csv file, you cannot save formatting. When you are finished populating the template, remember to save a final .csv for your upload.

Once complete, drag and drop your .csv file or click "Select a File to Upload".

You may navigate off the page during this process. When you return, the progress of the upload will be shown until it is complete.

Review upload successes and/or failures.

If all assets were created successfully without error, you may navigate to the asset list via the left navigation.

If any assets failed the upload, download the revision template.

This template lists only the failed assets and a reason in the first column. Use this template to fix any issues as indicated.

After fixing all issues, click "Upload File".

Repeat this process until all assets are successfully added to the system.

Select "Assets" on the left-side navigation to see your asset list.
