How to Resolve, Decline or Delete a Maintenance Request (Desktop)

What: A Maintenance Request requires action by others within the organization and once they have taken the necessary actions based on the request, that request is then updated accordingly.

Note: These actions cannot be undone. Once you Resolve or Decline a Maintenance Request, it cannot be edited or deleted. 

Who: Shop Managers and any other users with edit/update maintenance request permissions. They can Resolve, Decline or Delete Maintenance Requests in the Maintenance Requests Action Bar. 

Step 1. Select "Maintenance" on the left-hand navigation.

Resolving a Maintenance Request

Only "Pending" Maintenance Requests may be resolved. The "Resolve" action button is disabled for Maintenance Requests with any other status.

Step 1. Select "Resolve" above the list of requests.

This action marks the request as "complete" if the Maintenance Request is not added to a Work Order. 

Step 2. Select "Resolve".

The original user that submitted the Maintenance Request will be notified. 

If there are no additional Maintenance Requests associated with this asset, the "Maintenance Needed" label is removed. If other Maintenance Requests are open on this asset, the "Maintenance Needed" label will remain. 

Declining a Maintenance Request

Only "Pending" Maintenance Requests can be declined. The "Decline" action button will be disabled for Maintenance Requests with any other status.

Step 1. Select "Decline" above the list of requests.

Note: Once complete, the request status on the Maintenance Requests List is now marked "Declined".

The original user that submitted the Maintenance Request will be notified. 

If there are no additional Maintenance Requests associated with this asset, the "Maintenance Needed" label will be removed. If other Maintenance Requests are open on this asset, the "Maintenance Needed" label will remain. 

Deleting a Maintenance Request

Conditions:

  1. Maintenance requests can only be deleted by the user who created the request. 
  2. Maintenance requests can only be deleted when their status is "Pending". Once a Mechanic has begun working on a Maintenance Request, it can no longer be deleted. 

You will not be able to use the "Delete" option (the Action button will be disabled) to any Maintenance Requests in the Maintenance Requests list that were not requested by you (your name in the Requested By column), or to those that have any other status besides "Pending".

Step 1. Select "Delete" above the list.

Step 2. Click "Delete" to confirm your intent to delete this request.

Note: The Maintenance Request is now removed from the Maintenance Requests List.
