How to Approve or Deny an Asset Request - Asset Approver (Desktop)

Asset Approvers get final say on all asset requests as the coordinators of all asset moves for your jobsites. These individuals must stay informed of all site needs to efficiently coordinate the sharing of resources across all teams.

When an asset request status is updated to "Pending Asset Approval", the Asset Approver will receive a notification to take action. This takes place after an asset has been "Field Approved" or in the event of a scheduling conflict.

When you receive a notification for an asset request approval, take action to address the request.

NOTE: A request in the "Pending Asset Approval" status will expire based on the expiration selection made during the setup of the Requests feature. See How to Set Up Resource Management for additional information.

Permission Requirements: Users with the "Asset Approval" permission have the ability to approve asset requests.

Click "Resource Management" on the left-hand navigation menu.

Click on the "Requests" tile.

On the Requests page, find the request you wish to take action on.

The request can also be accessed by clicking the hyperlink in the notification you received.

Actions to approve or deny a request can vary based on the type of request or if there is a conflict with a request.

Approve/Deny a Request for a Specific Asset

A request for a specific asset will show the Fleet No. and Asset Name in the request line on the Received Asset Requests page.

Click on the eye icon next to the specific request to view the Request Approval page.

Review the Request Approval to determine whether to approve or deny the request.

The Request Approval page will display details on the specific asset including how far it is from the requested site, pending maintenance, and the asset schedule.

Deny or approve the request.

Click "Deny Request" to deny and then click "Yes" on the pop-up message to confirm.

NOTE: A request can also be denied without viewing the Request Approval page by clicking on the "X" icon on the right side of the request line on the Received Asset Requests page.

Click "Approve Requests" to approve and then select "Approve Requests" or "Approve a Different Asset".

Selecting "Approve Requests" approves the request.

Selecting "Approve a Different Asset" allows you to select an alternate asset.

If "Approve a Different Asset" is selected, a new window will open to select a new asset.

Click on the checkbox next to the asset you want to select and then click "Select Asset" on the bottom right.

NOTE: You can use the search bar at the top or scroll down the list to find a specific asset.

Once "Select Asset" is selected, the request will be approved with the new asset.

Approve/Deny a Request for an Asset Category

A request for an asset category will show the Fleet No. and Asset Name in the request line on the Received Asset Requests page.

Click on the eye icon next to the specific request to view the Request Approval page.

Review the Request Approval to determine whether to approve or deny the request.

The Request Approval page will display a list of applicable assets to fulfill that request, including the status, distance from the requested site, and utilization of each asset.

Select "Deny Request" or "Approve Requests" on the bottom left side of the screen.

Resolve Request Conflicts

A conflict with a request is indicated by the caution icon in the request line on the Received Asset Requests page.

Click on the caution icon to review the conflict.

Review the conflict and keep the original request or select a new request to approve.

Select the radio button "Keep Original Request" and then click "Keep Original Request" on the bottom right side.

Select the radio button "Choose New Request".

This displays a list of other requests submitted that conflict with the original request.

Select the checkbox next to the request you want to approve instead of the original request and then click "Choose New Request" on the bottom right side.

Once "Choose New Request" is selected, the new request will be approved instead of the original request.


Change Request Event Dates & Times

While in the field, there may be instances where an asset is needed at a site for longer than scheduled or the schedule needs to be adjusted for other various reasons. Users can view an asset schedule and drag & drop events from one day to the next, extend the timeframe an asset is located at a site for, or adjust the event altogether. Click on the specific event in the asset schedule, and either drag the event to the new timeframe needed or extend the event's date and time by dragging the event and/or dropping the event into a new timeslot.
