Fuel Entry Integration: Viewpoint Vista Overview

Tenna’s integration with Vista offers the option to track fuel entries for assets. The Fuel Cost Management feature empowers users to efficiently create and manage various fuel types within the system. Users can define and categorize different fuel options associated with their vehicles or equipment, providing a comprehensive overview of fuel-related data.

Fuel Transaction Entry in Tenna.

Perform a fuel entry transaction in the Tenna mobile app. A new record will be added into the Vista EMBF (fuel batch table).

Review and Process the Batch in Vista.

Once per day, all fuel entry transaction captured throughout the day will be available to review and process in Vista which will then populate the fuel costs into Vista for each asset.

Know your Costs Early.

Know your total fuel consumption, fuel pumped and total costs in Tenna and see it in Vista™.

Partnership with Data Xchange by Trimble

Tenna partners with Data Xchange to process transactions, ensuring your Vista system’s integrity and security. Data Xchange will have already installed an agent on your server that will connect to your Vista system. This agent was required for your initial Vista integration with Tenna. When fuel entries are made in Tenna, Tenna sends a transaction to Data Xchange which in turns sends it over to Vista for batch processing.

Once per day, you have the opportunity to review and then process the batch in Vista. Processing the batch populates the fuel and cost to the equipment.

Initial Setup Required

The fuel integration requires you to provide three default values that can be found (or created) in Vista.

  1. The Vista Fuel Unit of Measure (usually GAL)
  2. The Vista Fuel Cost Code (from the EM Cost Codes in Vista)
  3. The Vista Fuel Cost Type (from the EM Cost Types in Vista)

Setup in Tenna Required

Fuel grades need to be entered and the cost maintained on a consistent basis. This is done through Tenna, navigate to settings, configurations and then select the Fuel Tab.

To create a fuel grade, click "Create Fuel Grade" and select the fuel type from the pull-down menu and then type the Fuel Grade desired and enter the price per unit (or gal).

To edit the price (or name), select the pencil / edit icon on the fuel grade and make changes required.

Each asset must have the fuel grade populated along with the fuel type and fuel grade. To input this information, edit the asset in Tenna and navigate to the fuel section.

Important! You may make the decision to not input and maintain fuel grades and pricing in Tenna and maintain them in Vista only. If this is the case, simply ignore the two previous requirements. When there is no fuel grade on an asset in Tenna, the integration will default the material code to be what the asset is labeled within Vista, and the price will default to what that material code is priced at per unit of measure in Vista.

Additional Setup within Data Xchange Required

Enter the fuel material codes associated with the fuel grades you use from your Vista account. This can be found in the HQ Materials section of Vista.

The Vista material codes will be matched to the Tenna type and grade from the asset. If no material code is matched, then the entry will default to the material code found on the equipment in Vista under "Add'l Info".

The user will enter the data in Data Xchange to ensure the correct material code is selected when creating the batches.

Process Flow

A fuel entry is processed in the Tenna Mobile app for an asset.

An entry in the Vista EMBF table is created.

All entries are processed into a batch that can be reviewed/edited and then processed by the user.
