Mechanic Time Cards Overview

Mechanic Time Cards allow mechanics to easily capture their time against assets, work orders, maintenance requests, and sites. This helps to accurately record and manage mechanics' time and help improve efficiency, track productivity, and streamline the time tracking process. Time tracking captures start and end times of each task, any breaks taken, and the duration of work performed on specific assets or projects.

NOTE: You must have the Maintenance feature in order to utilize the Mechanic Time Card feature.

Permission Requirements: All users have access to create and submit Mechanic Time Cards, however, the data they can view/edit are based on permissions. See each section below for specific details.

To view the Mechanic Time Cards page, select “Mechanic Time Cards” from the navigation menu on the left side of the screen.

The following tiles are found on the Mechanic Time Cards page:

The tiles shown for each user are dependent on their permissions.

Click on a specific tile to view that page.

My Time Cards

Permission Requirements: All users have access to create and submit Mechanic Time Cards. Users with the “Time Entry Proxy” permission have access to view/create/update time entries for all other users. This permission is useful for entering time for an individual who is out sick or doesn't have immediate access to updating their time card.

The My Time Cards page allows mechanics to easily capture their time against assets, work orders, maintenance requests, and sites. A mechanic creates a timecard and records their time for the period of time determined for the timecard. Mechanics can either create a timecard for the week and record their hours directly, or simply add individual time entries on work orders and maintenance requests. If they add time entries without an existing timecard, a new timecard for that week is automatically generated based on the pre-defined timecard rules in your account settings. Once submitted, the card goes through the approval process: approval leads to processing, while rejection sends it back for revisions.

Team Time Cards

Permission Requirements: Users with the “Time Card Approval – Supervisor” permission have access to approve time cards for users they are assigned to. Users with the “Time Card Approval – Global” permission have access to approve time cards for all users across the organization, as well as their own timecard (if applicable). Users with the “Time Entry Financial” permission have access to view the Class Codes, Cost Codes, and Billing Rates in time cards as well as mark approved time cards as processed.

The Team Time Cards page allows approvers to approve time cards that have been sent to them for "Review".

Manage Mechanic Time Cards with bulk actions by marking the boxes to the left of the time card to complete the following actions:

  • Mark as processed
  • Lock/Unlock
  • Approve
  • Reject
  • Submit
  • Delete

Time Entries Export

The Time Entries Export allows a user to request a download of all user time entries by clicking the “Download” button.

Once you click the "Download" button, you will see the following popup:
