Viewpoint Spectrum Integration Overview & Requirements

With this integration by Data Xchange, Tenna is connected to Viewpoint® Spectrum® to allow you to share real-time data about your assets and sites to your ERP. Multiple company configurations within the same Spectrum instance are supported by Tenna and can be loaded into a single Tenna instance. This gives total visibility over operations and their associated costs so your team can make informed decisions with accurate data. Customize options to best fit your business model.

Enter Equipment Once

Enter a new piece of equipment in Spectrum® and it will automatically show up in Tenna or allow the field to enter a pending piece of equipment in Tenna and it will show up in Spectrum®.

Enter Jobs Once

Every job set up in Spectrum® can automatically be added to Tenna. You may choose what you ““Send to Tenna” to create the best solution for you.

View Utilization Updates Always

Capture equipment hour and mileage meter readings and automatically update them from the machine into Spectrum® from Tenna.

Partnership with Data Xchange

Tenna partners with Data Xchange to process transactions, ensuring your Spectrum system’s integrity and security. Data Xchange will install an agent on your server that will connect to your Spectrum system. Every 30 minutes, Data Xchange pulls data from your Spectrum system and reviews for any changes.  If there are changes, Data Xchange triggers transactions to process the update into Tenna.  Changes in Tenna are sent to Data Xchange in real-time and processed to sync with Spectrum.  

New Equipment or Assets in Tenna

New equipment or assets are entered in Tenna and automatically updated to Spectrum. Our team will help streamline the initial seeding in Tenna with your existing Spectrum equipment.

Initial Asset Load

The Tenna-to-Spectrum integration allows for the initial seeding of assets to match what is already in your Spectrum system, thus ensuring a true synchronization from day one. This process involves steps that will validate accuracy and conformity before the data is loaded into Tenna.

The following steps must be taken prior to the Initial Asset Load:

The Data Xchange agent is installed and connected to Spectrum by Data Xchange in collaboration with the customer.

The below Integration Setup Instructions are completed.

Once those items are completed, the following will occur:

The Tenna Integrations team will perform an intial Spectrum cache load and review the assets as they are stored in Spectrum.

Validation steps are taken to check for any data that may cause issues in the Tenna platform.

A review is set up with the Spectrum point of contact to go over any potential issues found and make corrections if needed.

A sample of assets will be chosen and loaded into Tenna.

Customer and Tenna will jointly review the assets in Tenna and agree on results or make changes.

After the validation is completed, all assets selected to load into Tenna (via the Send to Tenna flag) will be released to populate Tenna assets.

The equipment status must also be active. Tenna's Spectrum integration allows for configurable active statuses. Please provide the Tenna Integration Specialist with all active status values.

You will need to edit the assets in Tenna to add the correct category (all assets will come over with a category of "New from Spectrum"), organization, and bill type. This step can be performed through a bulk edit if desired.

New Jobs in Spectrum

New jobs or sites need to be entered in Spectrum and they will flow into Tenna. All jobs in Spectrum need to have a unique physical address so that Tenna can create the default geofence based on the google geo coordinates of the address.

Initial Jobs Load

The Spectrum-to-Tenna integration allows for the initial seeding of jobs to match what is already in your Spectrum system, thus ensuring a true synchronization from day one.  This process involves steps that will validate accuracy and conformity before the data is loaded into Tenna.

Each new site will render a default geofence which you will need to edit to match the actual job site. Each job needs to have a physical address in the record to render the default geofence with the address being the center point of the geofence.

Integration Setup Instructions

The following actions must be taken within Spectrum and Tenna to prepare for the integration to be activated.  

Pre-Validation Steps

The Asset-to-Tracker Match file is completed or updated with accurate asset information that matches Spectrum.

Provide an extract of jobs from the Jobs module.

Tenna to validate the asset and jobs extracts.

  • Are the equipment IDs consistent?
  • Are equipment names what the customer expects to see in Tenna?
  • Do all assets have unique serial numbers?
  • Other discrepancies in the asset data?
  • Are job addresses valid? Is the full address in Spectrum? (This is needed to create geofences, no address will cause irregularities in the geofences.)
  • Are multiple jobs at the same physical address (or close)? (This will cause the integration to potentially fail for subsequent sites with the same or close address in Tenna due to overlapping geofences.)
  • Any other discrepancies in the site data?

Data Xchange Setup Steps

Send the following data to the Tenna Integration team to complete the Data Xchange onboarding request.

  • Is the customer's Spectrum on-prem or cloud based?
  • What data folder will be be integrating?
  • Who is the customer's primary contact for Spectrum knowledge? Please include email and phone number.
  • Is there a primary IT person who would assist in the installation of the Data Xchange agent? If so, please provide email and phone number.
  • What is(are) the company code(s) to be synchronized with Tenna?

Tenna to complete the Data Xchange onboarding form.

Customer to acknowledge they have reviewed this Overview & Requirements article.

Ensure the required steps have been performed for Data Xchange agent integration.

Spectrum Setup Steps

Ensure "Send_to_Tenna" custom field on equipment is set up.

Ensure custom field is on Jobs: "Send_to_Tenna".

Ensure Equipment type is created in Spectrum.

  • Code = UNASSIGNED
  • Description = "New from Tenna"

Ensure the Data XchangeAgent has been installed on the server with Spectrum. The Data Xchange point of contact will assist in this setup and configuration.

Ensure the SQL user setup request has been performed. The Data Xchange point of contact will assist in this setup.

Ensure that the Data XchangeServiceUser is set up as a Viewpoint Spectrum User and assigned to all applicable Security Groups.

Tenna Setup Steps

Create a new category named "New from Spectrum" in Tenna with Type "Equipment". This is case sensitive.

If assets already exist in Tenna, ensure the fleet number is in the format "Fleet Number/Company_Code".

If sites already exist in Tenna, ensure the site number is in the format "Project Number/Company_Code".

IMPORTANT! Any information from Spectrum will overwrite the existing information in Tenna for the fields in the Field Mapping tables below.

Spectrum Equipment to Tenna Assets

If the customer has chosen to set up a custom field, “Send to Tenna" , Spectrum Equipment records will be added to Tenna Assets when the following is true:

  • Custom field, “Send to Tenna” = "Y"

If the customer has chosen not to set up a custom field, Spectrum Equipment records will be added to Tenna Assets when the following is true:

  • Equipment Status = “A” (Available for Use)

Sync Frequency

Every 30 minutes.

Equipment records will be created in Spectrum when assets are created in Tenna when the following is true:

  • Fleet number in Tenna is formatted as Equipment Code + “/” + Company Code (i.e., If the equipment code in Spectrum is "1234" for company code MVC, the fleet number in Tenna should be "1234/MVC")
  • The fleet number in Tenna does not exist as an Equipment ID in Spectrum
  • Category type in Tenna is one of: “equipment”, “vehicle”, “truck”, or “attachment”

Expected Implementation Timeline

The timeline is an average of 10-20 days beyond kickoff.  The following example assumes the activity starts the first of January 2023 and extends for 17 days.
