How to View and Edit Work Orders (App)
Work orders can be viewed and edited at any time. This article shows how to view and edit work orders from your mobile app.
Permission Requirements: Users with the "View Work Orders" have the ability to view work orders. The creator of the work order and users with the "Edit Work Orders" permission have the ability to make edits to work orders.

How to View a Work Order
From Maintenance

- In the Tenna App homepage, select the three dots on the bottom right of the screen to open the More Menu.

- Select "View Work Orders" in the More Menu.

- Search for the Work Order.
The Work Orders screen is broken into two tabs: Not Completed and Completed.
- Toggle between the two to search for a not completed or completed work order.
- Utilize the search bar at the top of the screen to search by Work Order Title, Work Order No, Work Order Type, various Asset Details, Approvers, Mechanics, Invoice/Billing No, etc.
- Select the filters icon in the search bar to sort and/or apply various Work Order filters: Mechanic, Approver, Status, and Priority.

- Select the Work Order you would like to view to open the Work Order Details page.
From Asset Details

- In the Tenna App homepage, select the magnifying glass icon on the bottom right of the screen to open the Search Menu.

- Select the Assets tab.

- Select the Asset.

- Select the Maintenance tab.

- Search for and select the Work Order to view.
How to Edit a Work Order
There are a few options for editing the Work Order from the Work Order Details Page:
- Tap the “i” icon in the Asset Details card, then tap “Edit” to edit the Miles or Hours at Creation and Miles or Hours at Completion.
- Tap “Edit” to open the Work Order form.
From here, you can edit all fields of the Work Order, including adding or editing Maintenance Requests.
Note: Work Orders with the status of “Completed” can only have Maintenance Requests added or edited, not deleted/removed.
- Tap “Add Label” under Labels to add labels. If existing labels are assigned, select the pencil icon to add more or remove assigned labels to the Work Order.
- Tap the (+) Add button at the bottom of the screen to add to the Work Order:
- Part
- Time Entry
- Equipment Cost
- Service Vendor Cost
- Misc. Cost
- Note
- Photo
- File
Note: All above Add menu items can also be accessed to view or edit by tapping the various boxes as described below.
- Tap the Parts box to view, add, or edit parts for this Work Order.
- Tap the Time Entries box to view, add, or edit time entries associated with the Work Order.
- Tap the Cost Summaries box to view, add, or edit costs associated with the Work Order.
Tap the +Add button to add costs for each line item or tap the arrow at the end of each line item to view existing costs.
Note: Equipment, Service Vendor, and Miscellaneous costs must be manually entered. Parts and Labor costs will automatically calculate based on committed parts and time entries (if these features are enabled on your Tenna account).
To add Equipment, Service Vendor, and Miscellaneous costs, select the +Add button. Enter a Vendor, Vendor No., and Cost. The Cost Date will auto populate to today’s date. Then, tap Add to Work Order.
- Tap the Notes drop down to open all existing Work Order Notes.
- Tap the three dots next to an individual note to edit or delete.
