Custom Inspections Overview

Custom inspections allow you to create and edit unique and customized inspections for each of your asset types.  

This functionality is part of a premium product license within Safety & Compliance. Both the Safety & Compliance and Custom Inspections licenses must be enabled (turned on) to access the custom inspections functionality, which is unlimited and includes add, edit, clone and delete inspections.  

Failed inspections link to the Maintenance feature to help automate your workflows by connecting your field and shop teams for visibility, insight and quick attention to failed inspection criteria.  

Use Cases: Custom Inspections is a great solution for a variety of needs, and the ability to customize what is required during inspection can make the insights more meaningful.  

    • Bulk-applying an inspection to an entire category type of assets. 
    • Creating new inspection forms for special use cases. 
    • Inspections for specific projects, unique circumstances on certain jobsites. 
    • Local government requirements and more.  
    • The ability to mandate sign off via a required signature field also helps root the inspection process into your team’s workflows.  
    • PMs and Supers get notified for their awareness when an asset has entered their site and needs to be inspected. 

Permission Requirements: Users with the Manage Inspections permission turned on can access the manage inspections functionality (add, edit, clone and delete). 

NOTE: If Data Access Controls is enabled on your account, users will only see the assets to which they have access when viewing this report.

Permissions associated with Custom Inspections include: 

  • Manage Inspections: Create, manage and assign inspections (create, edit and clone inspection forms). 
  • View Inspection Reports: View inspections for assets. You must have this permission to see inspections, including those created by you if you have the Manage Inspection permission.
    • Without this permission, you cannot see the reports you submitted.
    • There is currently no ability to view only your inspection reports vs. all inspection reports. 
    • 9/10 times your users should have both the Manage and View Inspections Reports, so they can view all reports and they can filter for their own.
  • Amend Inspection Reports: Resolve a failed item and resubmit. This is used to mark previously failed inspection check items as repaired and resubmit the inspection report to update its outcome to Passed. This is primarily for the Shop who is responsible for fixing things reported as failed during the inspection process and sign off on repairs being completed. 
    • This does not relate to the “edit” inspection functionality controlled by the Manage Inspections permission.
  • Submit Inspection: Submit new asset inspection in the Tenna App. Inspections can only be completed in the App.  

Custom Inspections and details related to completed and missed inspections can be accessed in multiple places within Tenna, including within the Safety & Compliance feature, Site Details, Asset Details, Maintenance, Notifications and the Tenna App. 

Custom Inspections can be accessed within the Safety & Compliance feature on the left side navigation and under the Manage Inspections tile. 

Existing inspections are available in the inspection library under Manage Inspections. This includes custom inspections created by users, and Tenna Default inspections (which do not have a value under the “Created By” column). You can create new, clone, edit and delete custom inspections from this grid.  

Inspection Library

Inspections in general can also be accessed within the Safety & Compliance tab under Asset Details for assets with assigned inspections. You can see the inspection reports submitted for this asset as well as missed inspections.  

You can see inspection details under Site Details for assets with assigned inspections currently assigned to/located on that site. On the Site Details, Safety & Compliance tab, you can see what forms are assigned, frequency, number of codes, etc. You can also see inspection reports recorded against the assets currently assigned to this site. When a new asset enters a site geofence, the Project Manager and Superintendent assigned to that site who receive the geofence entry notification will also be notified about any inspections assigned to that asset when it enters their site for their awareness.

Submitting an inspection takes place in the Tenna App, under the Create Menu.  


Failed inspections automatically create maintenance requests (if you have the maintenance license enabled on your accounts). All completed inspections are logged under the Inspections Reports from the main Safety & Compliance landing page or from the Inspection Reports tab within any page within the Safety & Compliance feature.

Missed Inspections are accessible under the Missed Inspections tab within Safety & Compliance. Any inspection that was missed will appear here. You have the option within custom inspections to determine what constitutes a missed inspection, in terms of usage, a time based scale or custom frequencies.

By default, this grid displays missed inspections from the past week, but you can adjust the date range and sort and filter this list as needed.
