Asset Internal Rentals Report (Desktop)

The purpose of the Internal Rentals Report is to review the revenue your owned assets are generating by being internally deployed (or “internally rented”) within your company. Assets included in this report are those designated as “Owned” assets and are marked as “billable” with a billable rate. 

Note: “Rental” assets in your fleet temporarily are not included in this report. This report does not currently tie into any ERP or Project Management Integrations.

Assets designated as "owned" assets, regardless of tracker or category type are included in this report for the time period selected, provided the tracker is installed, verified, and online.

Data from the Internal Rentals Report is paginated (organized across pages) to increase loading speed and can be exported as “All Results” or “Only Displayed” (i.e., only displayed on that page). Each page displays 100 Assets.  

Users with the Rental Information permission turned ON can access this report. This report is part of TennaCORE and is not tied to a premium product license. This report is typically referenced by and beneficial for Operations Managers (Project Managers, VP Operations, etc.) to see the revenue their machines are earning on particular jobsites.

Note: If Data Access Controls is enabled on your account, users will only see the assets to which they have access when viewing this report.

The Internal Rentals report is organized within the Financial reports and is accessible via Reports on the left navigation bar, under the Financial category or via the Reports drop down shortcut at the top of the screen under Financial. 

How to View Report

Click "Reports" at the top toolbar in Tenna.

Click the "Financial" tab from the dropdown.

Select "Asset Internal Rental Report" from the list.

Note: Users can also navigate to this report by clicking "Reports" on the left-hand navigation bar. Scroll to the financial tab and click the "eye" icon for the Asset Internal Rental Report.


The default range for viewing this report is One Week ago through Today. Quick date range options include Today, Yesterday, Previous Week and Previous Month. 

Results are shown for start and end dates in the account time zone. You can select a max date range of 180 days’ worth of results and can search back to the beginning of your account's history to capture each tracked asset’s lifespan on Tenna. 

You may choose to filter non-workdays or weekends out of your report by selecting “View Workdays Only” or “View Weekdays Only” in the date range picker.   


Report Overview 

  • The parent rows of this report are organized by Site with a default sort of Site Number/Site Name in A-Z order. This row reflects the asset count for each site group as well as the total rental cost (sum of the costs in the Cost column in the site group listed below).  
    • Beneath each Site parent row are assets that were charged to that site, sorted by site number and name.
    • Assets will appear on this report once they enter the geofence. The formula begins calculating the second the asset enters the geofence.

Pro Tip! In order for an asset to populate in this report, it needs to be marked as billable. Go into the Asset Details page and click on the financial tab. If it is not marked as "Yes" it will not show up. Edit the asset details to make this change.


  • Fleet No. Asset identifier. This entry is a hyperlink to the Asset’s Details. 
    • This field starts the Asset Details column group which is collapsed by default but when expanded also include columns for Make, Model, Year, Status, Assignee, Organization, Tracker Type and Tracker Status.  
  • Asset Name. Asset identifier. This entry is a hyperlink to the Asset’s Details.  
  • Major Category. The asset’s major category (highest category level).  
    • This field starts the Category column group which is collapsed by default but when expanded also include columns for Subcategory 1, Subcategory 2and Subcategory 3. 
  • Rental Rate. The internal rental rate set for that asset, rounded to two decimal places. 

Note: You can see an asset's billing details on the Financial tab at the Asset Details level.

  • Rate Type: The rental rate type set for the asset. Options set at the asset level include hourly, daily, weekly, monthly, and yearly.
  • Rental Time. Time spent allocated to the site based on the selected date range and site.
    • This is NOT based on the asset running or utilization.

Note: When exporting this report, time will export as raw seconds or hours in Excel, which is more useful. Please remember to convert the Rental Time column into the display in which you would like to view this time.

  • Cost. Total internal rental cost calculated based on the rental rate x rental time in seconds.

To filter the report, click on the Columns tab at the right of the report.

FAQs

  1. If a tracker is offline, will the report pull in data?

If the tracker is offline there will be no data to report and no data will be reported retroactively.

  1. Does the asset data pull once it exits the geofence?

No, once the asset leaves the geofence it will not be tracked. The second the asset moves back into the geofence, data will track in the report.

  1. What will happen if the billing type/rate is changed?

The change will apply to any reporting once the change has been made. The rate will not be stored historically.

  1. How does an asset get allocated to a site?

The asset is allocated to a site based on geofence in/out data or manual transfers for offline assets.
