Maintenance Requests and Work Orders in Offline Mode (App)

Offline mode is helpful for situations where an asset will be away from cellular service or internet connection. Certain maintenance tasks can be performed offline on the Tenna App and then uploaded to Tenna once the mobile device regains connection.

Permission Requirements: The permissions for these maintenance tasks are the same as online maintenance tasks. View Maintenance Permissions, Notifications and Configuration Overview for more information.

Pro Tip! Prior to being offline (i.e., in the office prior to leaving for the jobsite), we recommend saving any necessary assets, sites, inspection forms , and maintenance requests or work orders to your device. Saving these items essentially downloads the data to the Tenna App so that the maintenance actions can be performed offline. View What to Do Before Going Offline for details.

Note: Maintenance Types and Users (for Mechanic Assignment) data is automatically downloaded to your device during offline mode, so you do not need to save these items prior to going offline.

How to Create an Offline Maintenance Request

Note: Your Tenna App will automatically go to Offline Mode if you lose internet connection.

If you are already in Offline Mode due to complete loss of connection, skip to Step 4.

If the connection is simply slow, you can manually go into Offline Mode following Steps 1-3 below.

In the Tenna App, tap the "three dots" to open the More Menu.

Tap the Settings button.

Scroll down and tap Go Offline to enter offline mode.

Tap Maintenance Requests.

Tap Create Maintenance Request.

Important! The form is identical to the regular, online Tenna App Maintenance Request form, except for selecting the Asset.

Tap the field to add an Asset and select from the list of Saved Assets.

Pro Tip! Saving assets prior to going offline assists with efficiency and ensuring that the performed task is applied to the correct asset. However, offline maintenance can be performed without a saved asset.

To create a Maintenance Request for an asset that is not in your Saved Assets list, tap Enter Fleet No. under the asset field. Type the Fleet No of the asset in the Enter Fleet No. field.

Important! This will tie the Fleet No to the maintenance request, so that once you reconnect and exit offline mode, it will automatically apply the inspection to the asset with the Fleet No you entered.

Complete the Maintenance Request.

Note: Once complete, the new Maintenance Request will show in the list with a cloud icon, indicating that it is not yet synced with Tenna. It is saved locally on your device until you re-establish internet connection and it uploads.

Other Offline Maintenance Requests Actions

Users are able to view a saved or created Maintenance Request in Offline Mode as Read-Only. This means that the user can see many of the details of the request, but cannot edit those details.

The following actions are available for Maintenance Requests in offline mode:

  • Acknowledge
  • Resolve
  • Decline
  • Create/Add to Work Order

To complete any of the above actions, select the Maintenance Request from the list and tap the Manage button.

Other Offline Work Order Actions

Users are able to view a saved or created Work Order in Offline Mode as Read-Only. This means that the user can see many of the details of the work order but cannot edit those details.

If the user created the work order, is assigned mechanic, or is assigned approver, the user will be able to start, approve, or deny the work order in offline mode.

Note: The user will not be able to submit the work order for approval if there are required, incomplete inspections, or if there are uncommited parts.
