How to Submit a DVIR Inspection (App)

How to submit a DVIR (Driver’s Vehicle Inspection Report - as required by the DOT Federal Motor Carrier Safety Regulations) inspection on the Tenna App. DVIRs help to ensure the safe performance of a vehicle prior to operating and to document inspection records for compliance. This article explains how to resubmit and recertify a previous DVIR inspection.

  • Resubmitting an Inspection: This occurs when an inspector opens an inspection form for an asset that had mechanical inspection items marked as failed on their previous inspection. The inspector has the option to view the previous inspection, fix the issues marked as fail, and then resubmit the inspection. Steps for doing this on your desktop are below.   • Recertifying an Inspection: Some customer’s desire an additional check of a previous inspection “Fail” item which has since been resolved by the mechanic or shop and the current Driver/Operator will sign off. Permissions Requirements:

  • Users with the "Submit Inspections" permission can submit inspections.
  • To resubmit inspections, users require “Submit Inspections”, “View Inspections” and “Amend Inspection Reports” permissions.
  • To recertify inspections, users require “Submit Inspections” and “View Inspections” permissions.

NOTE: These instructions are for submitting a DVIR inspection in the Tenna App. For instructions on how to submit an inspection on your desktop, view How to Submit Inspection (Desktop).

Click the "+" icon at the bottom of the screen.

This icon opens the "Create" menu.

Select "DVIR" from the Create menu.

Search for the asset you wish to inspect.

You can scroll to find the asset or use the search bar to search by name or fleet number.

NOTE: This asset list will only display assets that are assigned a DVIR Vehicle Inspection form.

Click the orange arrow to select the asset.

Select the type of inspection you wish to perform - "Vehicle Inspection" or "Vehicle + Trailer Inspection".

From this screen, you can also select:

  • "Assign Me" - to assign yourself to the asset.
  • "Unassign Me" - if you are already assigned to the asset and wish to unassign yourself.
  • "View Previous Inspection Reports" - to view past inspection reports for that asset.

Important! If there are issues on a previous inspection, you will see an alert message.

If you selected "Vehicle + Trailer Inspection," on the next screen select the trailers that need inspection.

Click on the trailers to select them and then click on "Start Vehicle Inspection".

NOTE: DVIR Inspections can include up to 3 trailers on a single vehicle.

Scan the required Tenna labels on your vehicle.

The visual inspection form begins in the scanner mode.

NOTE: If the asset does not have QR codes to scan, this screen will not appear.

The number of QR codes you see on your mobile device relates to how many QR scan points are configured for this vehicle. 

Scanning a label changes the color of the QR Code icon on your screen and your count will begin ({X} of {Y} scanned).

QR Code color legend:

  • Grey: Tenna Label has not been scanned yet
  • Green: Tenna Label has been scanned successfully
  • Orange: Issue is reported for this scan

NOTE: If you are unable to scan a Tenna Label, click on "Report Issue" and specify the issue with the label (photo optional).

Begin mechanical inspection.

Select a section to begin inspection.

Mark each line item by clicking either "Pass" or "Fail" and click "Continue".

If you select "Fail," the box turns red and a screen will pop up for further information.

Any issues should be documented with a description and optional photos.

NOTE: A description / note can be up to 250 characters in length.

You can attach up to 50 photos per DVIR.

Repeat steps 8 and 9 until all sections are complete.

Click "Continue" once your mechanical inspection is complete.

The "Continue" box will remain greyed out until all sections have been selected.

Enter the current miles on your asset and click "Continue".

Use your finger to sign the signature box and click "Continue".

Complete the Submission Details screen and select "Submit Inspection".

On this page:

  • Select the Inspection Outcome (this will only show if one of the items was marked as "Fail")
    • Fail (asset should not be used)
    • Pass with Issues (asset is safe to operate)
  • Select the site at which the inspection was completed.
  • Add photos as needed

NOTE: You can upload up to 50 photos to an Inspection Report.

Your report is now accessible to the safety and mechanic teams. Any issues noted during the inspection are sent to the Shop for attention.
