Inspections Overview

đź’Ą Safety & Compliance and Custom Inspections are a premium products and requires separate licenses. Please contact your Account Manager for more information on premium product licenses or reach out to Customer Support at [email protected] or call 888.836.6269.

The Inspection features give the ability to set up required asset inspections and the ability to review completed, missed or failed inspections. This product includes Tenna Default Inspections: Equipment Inspection, DVIR and Mobile Crane (Lattice Boom). The information in this article will pertain to those options.

Users may also purchase the Custom Inspections premium license to build their own custom inspection forms. View Custom Inspections Overview for more details.

Permission Requirements: Users require the “Manage Inspections” permission in order to create, manage, or assign inspections.

If Data Access Control is enabled, users will only see assets to which they have configured access.

Tenna Default Inspections Overview

Important! Default inspection forms are not editable. They can only be assigned (as is) to your assets.

The forms were created based on knowledge of typical inspection items necessary for each type.

Contact your Account Manager if you are interested in customizable inspection forms and the Custom Inspections premium license.

Custom Inspections allows users to clone and edit Tenna’s default forms.

Tenna Default Equipment Inspection

General inspection for powered equipment, tools, and assets.

  • Created: Date
  • Created By: Default inspection reports will say N/A because they were not created by a user.
  • Categories: Any categories (and child/subcategories) of the asset’s that this inspection form has been assigned to. If not assigned to any categories, the field will read “-“. Clicking on the link will show all categories.
  • Default Frequency: Weekly
    • This can be changed when assigned to an asset.
  • Default # of Codes: 6
    • This can be changed when assigned to the asset.
  • Requires: Capture Hours, Capture Miles, General Comments
  • Does not Require: Signature
  • Inspection Items:
    • Outside: Lights, Steps/Hand Rails, Tires/Tracks, Exhaust, Fenders, Bucket, Cutting Edge/Teeth, Lifting Mechanism, Hoses, Fittings Greased, Hitch/Coupler, Wipers
    • Engine Compartment: Battery Cable, Fan Belt, Hoses, Air Filter, Guards
    • Inside Cab: Brakes (Service, Parking, Alarm), Fire Extinguisher, Gauges, Horn, Hydraulic Controls, Glass (all sides), Mirror, Roll Over Protection, Seat Belt/Seat, Steering
    • Fluids: Visible Leaks, Oil Level/Pressure, Coolant Level, Hydraulic Oil Level, Transmission Fluid Level, Fuel Level

Tenna Default DVIR Inspection

Driver’s Vehicle Inspection Report - as required by the DOT Federal Motor Carrier Safety Regulations.

  • Created: Date
  • Created By: Default inspection reports will say N/A because they were not created by a user.
  • Categories: Any categories (and child/subcategories) of the asset’s that this inspection form has been assigned to. If not assigned to any categories, the field will read “-“. Clicking on the link will show all categories.
  • Default Frequency: Daily
    • This can be changed when assigned to an asset.
  • Default # of Codes: 0
    • This can be changed when assigned to the asset.
  • Requires: Signature and Capture Miles
  • Does not Require: Capture Hours, General Comments
  • Inspection Items:
    • Cab: Brakes (Parking and Service), Clutch, Defroster/Heater, Horn, Oil Pressure, Safety Equipment
    • Under the Hood: Air Compressor, Air Lines, Battery, Belts and Hoses, Engine, Exhaust, Fluid Levels, Radiator, Starter, Steering
    • Front of the Vehicle: Body, Frame and Assembly, Lights, Windshield Wipers
    • Tires: Body, Brake Accessories, Front Axle, Lights, Mirrors, Suspension System, Tires, Wheels and Rims, Windows

Tenna Default Mobile Crane (Lattice Boom) Inspection

Pre-operational inspection for mobile crane (Lattice Boom)

  • Created: Date
  • Created By: Default inspection reports will say N/A because they were not created by a user.
  • Categories: Any categories (and child/subcategories) of the asset’s that this inspection form has been assigned to. If not assigned to any categories, the field will read “-“. Clicking on the link will show all categories.
  • Default Frequency: Weekly

    • Cab(s): Electric System, House Lock, Service/Parking Brake, Swing Brake/House Lock, Gauges, Housekeeping, Fire Extinguisher(s), Load Chart, Windows/Mirrors
    • Functions: Travel, Steering, Outriggers, Boom Up/Down, Hoist(s) Up/Down, Swing
    • Safety Devices & Aids: Anti-Two-Block, LMI/Load Wt. Indicator, Boom Length Indicator, Boom Angle Indicator, Warning Lights/Alarms, Back-Up Alarm/Horn, Boom Kick-Out
    • Boom, Jibs, & Accessories: Load Block/Ball/Hook, Safety Latches, Wedge Socket(s), Sheaves, Wire Ropes Retainers, Main Boom, Jib/Extension
    • Lower Works: Tires/Inflation, Carrier/Car Body, Shoes/Tracks/Chain, Outriggers, Machine Guards, Hoist Brake(s)/Clutches

The Safety and Compliance feature includes the following inspection-related sections:

Manage Inspections

Create, manage or assign inspections (both default and custom inspections).

NOTE: The Create Inspection Form button on the top right of this screen will only be available if your account has enabled Custom Inspections.

Manage Inspections is divided into two tabs: Forms and Assets.

Forms Grid

Includes all Inspection Forms available to your account. This includes all Tenna Default Inspection Forms and Custom Inspection Forms (if premium license is purchased).

The following information and actions are available in the Forms Grid:

  • Inspection Form Name: Tenna Default Inspection Type or Custom Inspection Title given by the user that created it.
  • Description: Description of the inspection form (if applicable)
  • Assigned Categories: Total number of categories that are assigned to the associated form.

Pro Tip! Selecting the Assigned Categories link will open up a list of all categories assigned to that inspection form.

  • Assigned Assets: Total number of assets that are assigned to the associated form.

Pro Tip! Selecting the Assigned Assets link will open up a list of all assets assigned to that inspection form. Selecting the eye icon from that list will open the Asset Details Page for that asset.

NOTE: This will include all assets even if the user has specific assets hidden via DAC.

This number does not include disposed assets.

  • Created: Date/time the inspection form was originally created.
  • Created By: User that originally created the inspection form. Hovering over this field will show the contact information for this user.
  • Modified: Date/time the inspection form was last modified.
  • Modified By: User that last modified the inspection form. Hovering over this field will show the contact information for this user.

Users can filter this grid by clicking on the filter icon on the far right and selecting from the options provided:

  • Assigned Assets Name
  • Assigned Categories
  • Created By
  • Modified By

Users can perform various actions from the Forms Grid:

  • View: View the inspection form as it is currently configured. Selecting this action opens the Inspection Form details page.
  • Edit: Select edit to make changes to the Inspection Form.

NOTE: Edit is only available for users with the Custom Inspections license.

  • Clone: Select clone to duplicate the inspection form.
  • Delete: Select delete to trash the inspection form.
  • Save View or Export

Assets Grid

Includes all assets that currently have an inspection assigned to them. This includes all assets assigned to Tenna Default Inspection Forms and/or Custom Inspection Forms (if premium license is purchased).

The following information and actions are available in the Assets Grid:

  • Asset Details: Fleet No, Asset Name, Assignee, Status
  • Category: Major and any subcategories
  • Asset Organization: Org Levels and Sublevels
  • DVIR:
    • DVIR Requirements: Driving Only, Vehicle or Trailer
    • Number of DVIR Codes
  • Inspection Details:
    • Forms: A list of any assigned inspection forms, separated by ;
    • Frequency: A list of the frequencies for each assigned inspection, separated by ; These are in corresponding order to the Forms.
    • Number of Inspection Codes: A list of number of inspection codes for each assigned inspection, separated by ; These are in the same corresponding order to the Forms and Frequencies.
    • Photos: View photos that were captured or uploaded to the inspection report.

Users can filter this grid by selecting the filter icon on the far right:

  • Fleet No
  • Asset Name
  • Category
  • Asset Organization
  • Asset Status
  • Assignee
  • DVIR Requirements
  • Inspection Form Name
  • Frequency


Users can perform various actions from the Actions Grid:

  • Save View or Export
  • Edit: Selecting the pencil icon next to the asset will open the inspections section of the Edit Asset form. From here, users can edit (add or remove) the assigned inspections (including DVIR) for that specific asset.

Inspection Reports

View all submitted inspection reports and their details. This includes Tenna Default Inspections, DVIR, and Custom Inspections (if enabled). View How to View Inspection Reports for more details.
