How to Assign or Un-Assign an Inspection to an Asset or Category (Desktop)

This article explains how to assign a Tenna Default Inspection Form (Equipment Inspection, DVIR and Mobile Crane (Lattice Boom)) or a Custom Inspection Form to an asset or category.
Permission Requirements: Users require the “Manage Inspections” permission in order to create, manage, or assign inspections.
If Data Access Control is enabled, users will only see assets to which they have configured access.

Important! Inspection forms must be created prior to being assigned. Tenna Default Inspections cannot be edited unless you have Custom Inspections enabled.

How to Assign an Inspection to a Single Asset
Permission Requirements: Users with both the "Edit Asset" permission and the "Manage Inspection" permission can make an inspection-related change to an individual asset.
Navigate to the Asset Details page for the specific asset you would like to assign inspection(s) to.
Click "Edit Asset" at the top left of the Asset Details page.
Scroll to the Inspections section.
Click "Add Inspection".
Select the inspection from the drop-down under Form.
NOTE: If you do not have the Custom Inspections license, only the Tenna Default Inspection forms will appear in the drop-down list. If you have the Custom Inspections license and have created custom inspection forms, they will be available in the drop-down list.
Select a Frequency.
Users can select None, Daily, Weekly, Monthly, Yearly or Custom Frequency.
Custom Frequency:
- Enter a number 1-999 in “The inspection is due every x days” window.
- When would you like the inspection frequency to start?
- On Assignment: The inspection frequency shall begin once it’s assigned to an asset.
- Example: You configure for the inspection to be due every 90 days. On the day the inspection is assigned to an asset, the inspection will be due that day and again 90 days from that day.
- Fixed Frequency Schedule: The inspection frequency will start automatically based on the configured Start Date.
- Select a Start Date for the inspection frequency to begin.
- Select an End Date (optional) for the inspections to stop triggering.
- Example: You configure the inspection to be due every 90 days. You select March 1, 2024 for the Start Date. The inspection will be due on March 1st and then again on May 30, 2024 (90 days later). If you select an End Date of January 1, 2025, the last triggered inspection will be due on November 22, 2024.
- On Assignment: The inspection frequency shall begin once it’s assigned to an asset.
Enter a # of Inspection Codes.
This is how many QR codes are required to be scanned during the completion of an inspection.
If you would like to add another inspection form to this asset, repeat steps 4-7 until all forms have been added.
Click "Update Asset" to finish.
How to Un-Assign (Remove) an Inspection from an Asset
Permission Requirements: Users with both the "Edit Asset" permission and the "Manage Inspection" permission can make an inspection-related change to an individual asset.
Navigate to the Asset Details page for the specific asset you would like to assign inspection(s) to.
Click "Edit Asset" at the top left of the Asset Details page.
Scroll to the Inspections section.
Click the (-) remove icon on the right side of the inspection form you would like to remove.
Remove as many inspection forms as necessary.
Click "Update Asset" to finish.
How to Assign Inspection(s) to a Category
These steps explain how to assign (add) an inspection form to a category or multiple categories. Assigning to categories will automatically assign the chosen inspection forms to all assets with the selected categories. This makes the process of assigning inspections much more efficient, eliminating the need to add inspections to each individual asset.
Important! Assigning to categories is not retroactive, meaning it will not override or changed the configured inspections (or lack thereof) of existing assets. This process is best done before entering or bulk uploading assets. Any assets created after this inspection form assignment process will automatically inherit any inspection forms assigned to their category type.
Permission Requirements: Users with the "Manage Inspection" permission can assign inspection forms to categories.
Select the Safety and Compliance tab on the left side navigation, then select the Manage Inspections tab.
Under the Forms tab, you will see a grid with existing inspection forms.
NOTE: If you do not have Custom Inspections enabled, you will only see Tenna Default Inspection Forms here.
Using the check box next to each inspection form name, select all inspection forms you would like to assign to a category.
Click on the clipboard icon on the top right of the grid.
Using the check boxes next to each category, select all categories you would like to assign these inspection forms to.
NOTE: Selecting a major category will automatically select all subcategories. If you would like to narrow down your assignment to specific subcategories, select the drop down arrow and select/de-select subcategories.
Click on "Assign Forms".
How to Un-Assign (Remove) an Inspection from a Category
Permission Requirements: Users with the "Manage Inspection" permission can assign inspection forms to categories.
Important! Users can only "bulk" un-assign Custom Inspections forms from a category. In order to remove assigned default inspections from an asset, view How to un-assign (remove) an inspection from an asset.
Select the Safety and Compliance tab on the left side navigation, then select the Manage Inspections tab.
Under the Forms tab, you will see a grid with all existing inspection forms.
