How to View, Create and Manage Laborers in Resource Management (Desktop)

The Labor Management page is where you view, create, update, and organize all of your labor resources in one place. Laborers can be individual people, such as Tenna users or contacts, or companies that you want to dispatch or assign to work.

Permissions: The Labor Management permission must be turned ON for read only access or set to EDIT to perform actions.

Secondary Permissions:

  • Crew Management manage all aspects of your labor resources, including crew creation
  • Manage Labor Resource Categories control how laborers are classified within your organization, including trades, trade levels, and classifications

Overview

The Labor Management page displays a table of all laborers in your account, including Tenna users, contacts, and companies that have been converted into laborers. By default, the table is sorted by last name in ascending (A–Z) order.

Each laborer record includes:

  • Name and type- First name, last name, and user type (User, Contact, or Company)
  • Labor details- Labor resource category, trade, trade level, classification, crew, employee ID, and time zone
  • Organization and site- Subsidiary, division, department, and assigned site
  • Location and company- City, state, and company name
  • Contact info- Email, mobile phone, and work phone
  • Labels- Laborer labels shown as icons; click to update

The table is paginated and displays up to 100 laborers per page, with the current page number, total laborer count, and record range shown at the bottom.

Filtering and Saving Views

Open the filters panel on the right side of the page to narrow down your laborer list. Available filters include laborer labels, user type, labor resource category, organization, site assignment, crew, city, state, and company.

The Site Assignment filter displays sites in the format Site Number – Site Name and can be searched by either site number or name. If a site has been closed or deleted, Tenna will automatically reset any laborers assigned to that site to No Site.

To save a filter combination for future use, open the filters panel, apply your filters, and select Save. Give it a clear name, like "NY Ironworkers- Active Sites", and access it anytime from My Filters.

Exporting Your Laborer List

Use the Export All option to export your full laborer list,  not just the current page. Exports are available in CSV, XLSX, and XML formats and include all visible columns except the Actions column.

Common export uses include pulling a full laborer list for HR or payroll review, or exporting a filtered list by trade, company, or site to share with subcontractors or internal teams.

Creating a New Laborer

Important! Creating a Single Laborer is best used when you would like to create a Laborer that cannot login to Tenna or receive dispatch SMS.

Labor Resource Categories must be set up before you can create a laborer.  View How to Create and Manage Labor Resource Categories (Desktop).

Click "Resource Management" on the left navigation menu, then click the "Labor Management" tile.

Click "Create Laborer" at the top right of the page.

Choose how to create the laborer.

  • Single- Manually enter details for one new laborer.
  • Select Existing- Convert one or more existing Tenna users, contacts, or companies into laborers.

The rest of the form will adjust based on your selection.

Enter your laborer details.

Fill in the laborer's information:

  • First and last name
  • City and state
  • Laborer avatar (optional)

  • Labor Resource Category (required — at minimum, a Trade must be selected)
  • Employee ID, work phone, and time zone

Specify organization or external company.

Select whether the laborer is within your organization:

  • Yes — Choose from your org chart (subsidiary, division, department).
  • No — Search for and select an external company instead.

Click "Create" or "Cancel".

Click Create Laborer (or Convert Tenna Contact Entities if converting existing records) to save. The button will remain disabled until all required fields are complete. Click Cancel to discard changes and return to the previous page.

Converting Existing Users, Contacts, or Companies into Laborers

If you select Select Existing when creating a laborer, the form switches to a selection view. From there you can search, filter, and select multiple Tenna users, contacts, or companies to convert into laborers at once.

The selector only shows entities that have not already been converted to laborers. The input field displays the number of records selected (e.g., "13 Selected"). When ready, click Convert Tenna Contact Entities to create the laborers and return to the Labor Management page.

Editing a Laborer

To edit an existing laborer, locate them in the table and click the Edit icon in the Actions column. From there you can update their name, contact information, labor resource category, organization details, and site assignment. Save your changes to return to the table.

Transferring a Laborer to a Different Site

To move a laborer to a new site, find them in the table and click the Transfer Laborer icon in the Actions column. In the modal that appears, select the destination site from the dropdown, searchable by site number or name, and click Transfer Laborer.

A confirmation message will appear if the transfer is successful. If it fails, an error message will describe what went wrong.

Note: If a site is later closed or deleted, Tenna will automatically reset the laborer's site assignment to No Site.

Deleting a Laborer

To remove a laborer, find them in the table and click the Delete icon in the Actions column. Confirm the deletion in the modal that appears. Deleted laborers are removed from the Labor Management page and will no longer be available for assignment or dispatch.

Working with Laborer Labels

If your organization uses laborer labels, you'll see label icons next to the user type in the User Type column. Hover over a label to see its details, or click the pencil icon to open the Laborer Labels panel where you can add or update labels for that laborer.

Bulk Uploads

If you have a large number of laborers to add, Bulk Upload lets you add them all at once instead of creating them one by one. Download a template, fill in your laborer data, and upload the file, Tenna will process the records and let you know if anything needs to be corrected.

Bulk Actions

Use bulk actions in Labor Management to quickly update multiple laborers at once instead of editing them one by one. After selecting several laborers in the grid, you can perform supported bulk updates in a single step.

Permissioned users can now perform the following bulk actions in Labor Management:

  • Transfer
  • Re-Categorize
  • Delete
  • Add Labels
  • Remove Labels

Use Case Example- Add Labels:

A job is rain delayed, and the equipment manager for the site needs to label the laborers for that particular site "Rain Delayed" so the equipment manager would change the labels for those laborers for the duration of the delay.
