Requests Overview

The Requests feature gives your team a single, organized place to plan and request equipment and labor resources for your job sites. Field and office users submit requests for what they need, designated approvers review and act on those requests, and approved requests flow directly into Dispatch to be scheduled and fulfilled.

Permission Requirements: The "Asset Request Approval" permission must be turned ON to approve or deny requests for assets. The "Crew and Labor Resource Approval" permission must be turned ON to approve or deny requests for labor resources or crews.

Related Permissions:

If approvers are looking to approve both asset and labor resource requests, ensure both sets of permissions are turned ON.

The requests grid is organized into three views:

  • My Requests: Requests you have submitted
  • Received Requests: Requests submitted to you for approval (depending on permissions)
  • All Requests: Every request across your account (depending on permissions)

Each row displays key details at a glance, including:

  • Request Status
  • Request Priority
  • Resource Category
  • Requested Site information
  • Request dates
  • Requestor
  • Notes (optional)
  • Approval Details
  • Recipients to Notify
  • Actions
    • Click the "eye" icon to view the request
    • Click the "dotted" icon to deny or clone the request (depending on permissions)

Who Can Do What?

There are three roles for Requests:

Role What They Can Do
Standard User Create requests for any active site. Edit their own requests while the request is still in the first level of approval. Once the request moves to the next approval level, it can no longer be edited by the requester.
Asset Approver Approve or deny all asset requests, edit approved asset requests, and initiate the cancellation workflow on behalf of others.
Labor Resource Approver Approve or deny all labor and crew requests, edit approved labor requests, and initiate the cancellation workflow on behalf of others.

Important! A Field Approver is not strictly permission-based. Instead, the system determines field approvers as follows:

  • If a user is assigned as a Project Manager or Superintendent for the site associated with the request, they are a field approver.
  • If a user is the current assignee of the asset being requested, they are a field approver.

If the requestor is a permissioned Asset Approver, the system recognizes that the final approval authority is already satisfied by the requestor and this bypasses any field approver logic.

What You Can Request

Asset Requests

  • Specific asset - You know the exact unit you need.
  • General asset category - You just need a type of equipment, such as "a loader" or "a pickup truck."

Labor and Crew Requests

  • Specific laborers - Request individual people by name.
  • Crews - Request an entire crew as a group.
  • General labor by category - Request a type of worker, such as "2 Operators" or "3 Laborers."

Each request captures the site, location, quantity, requested dates and times, priority, and any optional notes for the approver (up to 2,000 characters).

Note: All approved requests feed into the Dispatch Queue feature of Resource Management.

Statuses

Requests move through the following statuses, each color-coded for quick reference:

Priority

Every request requires a priority level. Options are:

Low 🟢 Green
Med (default) 🟡 Yellow
High 🔴 Red
