How to Implement the Maintenance Feature (Desktop)

What: Tenna offers Maintenance as a Premium feature that is available as a license to add on to your basic Tenna account. Premium feature licenses may purchase and then turned on for your at any time. 

When a new license for Maintenance is purchased, there are several steps your Power User will need to take to integrate the new feature into your account.

Who: Power Users are responsible for implementing features into your account. 

Note: Power Users should be familiar with basic permission setting skills to effectively implement a new feature. Appropriate help content is referenced throughout this article.

NOTE:

This can only be done in Tenna on a desktop, not in the Tenna App.

Step 1. Set Permissions within Settings > Permissions.

The Maintenance Feature includes several permissions.

Appropriate users that should receive these permissions are typically shop personnel including:

  • Equipment Managers
  • Mechanics
  • Parts Managers 

The Maintenance permissions will need to be set as "ON" in the Permission Codes for each Permission Group that your relevant shop users are a part of. Refer to Permissions Overview and Permission Codes Pt. 1: How to Configure Permissions (Desktop) for more information.

Step 2. Set Notifications within Permissions.

For users to be able to receive maintenance related notifications, you must configure notification permissions within your permission codes. There are several Maintenance notifications.

Appropriate users that should receive these notifications would be:

  • Equipment Managers
  • Mechanics
  • Parts Managers

Permissions for these Notifications will need to be set as "ON" and configured appropriately (Frequency, Delivery Method and Relevant Recipients) in the Permission Codes for each Permission Group that your relevant recipient users are a part of.

Step 3. Create Maintenance Services within Settings>Maintenance.

To configure preventive maintenance, you begin by creating individual maintenance Services. 

This is a detailed process that includes setting trigger values and appropriate recurrences for each preventive maintenance activity you would like to be reminded of for one-time or recurring performance on each of your assets. 

Refer to How to Create a Service (Desktop) for the steps required to create your services. 

Step 4. Create Service Packages within Settings>Maintenance.

To assign preventive maintenance to your assets, you must group your Services appropriately into Packages and then apply those packages to your assets. 

Refer to How to Create a Preventive Maintenance Service Package (Desktop) for the steps required to create your packages, confirm Service triggers or define Package triggers, and associate your packages to your assets to begin a maintenance schedule.
