How to Create, Edit, Deactivate, and Reactivate Rate Table Templates (Desktop)
Rate Tables Templates are reusable, standard rate table structures that define general rate rules, breakdown codes, exception rates, and business rules. These templates serve as a base or blueprint from which Job Rate Tables can be cloned or created. They allow consistent application of rate rules across multiple jobs and simplify the creation of job-specific rate tables.
Permissions Requirements: Access to rate tables is controlled by separate permission sets for each type:
Rate Table Templates
- View Rate Table Templates allows the user to view rate table templates
- Manage Rate Table Templates allows the user to clone, deactivate, and reactivate rate table templates
Job Rate Tables
- View Job Rate Tables allows the user to view job rate tables
- Manage Job Rate Tables allows the user to manage job rate tables

Important! Rate Table Templates are viewable from the Rate Tables page in Jobs, but must be created and managed in Settings.
How to Create a Rate Table Template

- Navigate to "Settings", "Jobs", then "Rate Table Templates".

- Click "Generate XLSX Template".

- You will see a prompt to name the Rate Table Template and select the designation (Cost or Billing). Then click "Download XLSX".

- Read the "Instructions" tab on the excel sheet to understand what to fill out on each page of the document.

- Input the data for General information, Rates, and Codes.

- Once complete, click "Import XLSX Template".

If there are no errors, you will see "Validation Completed" and your Rate Table Template will be created.
If there are errors, you need to correct them before in order to create the Rate Table Template.

- Once the Rate Table Template has been created, you will see it in the Rate Table Templates area in Settings/Jobs as well as the "Rate Table Templates" tab in the "Rate Tables" page in "Jobs".

Validation Rules for Rate Table Templates
You can create a rate table template by uploading an XLSX file with all your rates, codes, and breakdowns already filled in.
File Requirements
- XLSX format only
- 10 MB or smaller
- The import is all-or-nothing: if anything fails, the entire upload is rejected
What Must Already Exist in Your Account
Before you upload, these items must be set up in Tenna:
- Asset categories (Heavy Equipment, Heavy Trucks, etc.)
- Rate codes
- Revenue codes
- Breakdown types
Important! The import cannot create new codes and breakdown types.
What Gets Checked
The import validates:
- Rate table info: Unique number, name (required), description (max 200 characters), and designation (Billing or Cost)
- Rates: All asset categories exist, default rate type is selected if you enter rate values, all values are numbers
- Codes: Rate codes and revenue codes must exist in your account; phase codes are free-text (no lookup needed)
- Breakdowns: Types must exist and be active
- Exception: If your account uses Dollar Editable mode, you'll need to enter breakdowns manually instead of importing them
What Happens After Upload
| Outcome | What You'll See |
|---|---|
| Success | Green confirmation banner. Click Complete to open your new rate table. |
| Errors found | Download the updated file-it shows exactly which rows have problems. Fix and re-upload. |
| Wrong file type | Error message. Make sure you're uploading an XLSX file. |
| General error | Try again. This can happen if someone uploads the same table at the exact same time. |

NOTE: The Codes tab has three sub-columns (Rate Code, Revenue Code, Phase Code) repeated for each rate type: Hourly, Daily, Weekly, Monthly, Run Time, Idle, and Net Working Time.

How to Edit a Rate Table Template
NOTE: Editing a Rate Table Template must be done in Settings. Templates displayed under the Jobs view are read-only. Editing a Job Rate Table does not affect the source template, and editing a template does not update existing Job Rate Tables.

- Navigate to "Settings", then click "Jobs". Then select "Rate Table Templates".

- Find the template and click the dotted icon and select "Edit".

- Make changes to the template, then click "Done".

Important! In order for your changes to save, you MUST click out of the cell you have made changes in. If you do not, you will see a prompt stating your changes won't save.
How to Deactivate a Rate Table Template
Deactivating a template makes it inactive so it is no longer available for assigment for cloning.
NOTE: This requeires the "Manage Rate Table Templates" permission.
