How to Set Up the Safety & Compliance Feature (Desktop)

What: Tenna offers Safety & Compliance as a Premium feature that can be added to your basic Tenna account. Premium feature licenses can be purchased at any time and then turned on and implemented for your account. 

When a new license for Safety & Compliance is added, there are several steps your Power User will need to take to integrate the new feature into your account. 

Safety & Compliance includes DVIR and Driver Scorecard functionality. Refer to Safety & Compliance Overview to learn how these functionalities work within this feature.

Who: Power Users are responsible for implementing features into your account. 

Note: Power Users should be familiar with basic permission setting skills to effectively implement a new feature. Appropriate help content is referenced throughout this article.

Step 1. Set Permissions within Settings > Permissions.

The Safety & Compliance Feature includes several permissions for DVIR and Driver Scorecards.

Appropriate users that should receive these permissions are typically equipment, project and safety personnel including:

  • Equipment Managers
  • Safety Managers
  • Project Managers 

The Maintenance permissions will need to be set as "ON" in the Permission Codes for each Permission Group that your relevant users are a part of. Refer to Permissions Overview and Permission Codes Pt. 1: How to Configure Permissions (Desktop) for more information.

Step 2. Set Notifications within Permissions.

For users to be able to receive safety related notifications, you must configure notification permissions within your permission codes. There are several Safety & Compliance notifications.

Appropriate users that should receive these notifications would be:

  • Equipment Managers
  • Mechanics
  • Parts Managers

Permissions for these Notifications will need to be set as "ON" and configured appropriately (Frequency, Delivery Method and Relevant Recipients) in the Permission Codes for each Permission Group that your relevant recipient users are a part of.

Step 3. Configure Driver Scorecards in Settings>Safety & Compliance (if applicable for your use case).

To configure Driver Scorecards, first set up Thresholds for driving behaviors and violations, and then set up related Grading Criteria that should deduct or add points to each driver's scorecard as a result of each driving event or violation.

Refer to How to Configure Driver Scorecard Grading Criteria (Desktop) for information on setting grading criteria, connecting them to your thresholds and applying them to your asset types. 

Step 4. Configure DVIR for your Assets in the Safety & Compliance Feature (if applicable for your use case).

To configure DVIR for your assets, you must set the DVIR Type and Inspection Codes for each asset that you would like to require an inspection for. This is configured within the Safety & Compliance feature.
