How to Create, Edit and Delete an Asset (Desktop)
Creating assets is the primary function in order for a company to manage the asset. It all begins here!
Permission Requirements: Users with the "Add Asset", "Edit/Update Asset", and "Delete Asset" permissions can create, edit and/or delete an asset.
NOTE: If you are trying to create or edit an asset in the Tenna App, see How to Create an Asset (App) and How to Edit, Transfer, and Re-Assign an Asset (App).
How to Create a Single Asset
Permission Requirements: Users with the "Add Asset" permission can create new assets.
NOTE: These are steps to create a single asset. For steps to bulk upload your assets, see How to Bulk Upload Assets (Desktop).
- 1
- Click "Create Asset" on the top right side of the Assets page.
You may also select "Asset" from the "Create" dropdown menu on the top navigation bar from any page in the system.
- 2
- Select "Single Asset".
- 3
- Select "Owned" or "Rental".
NOTE: Consumable assets can only be designated as "Owned" assets.
- 4
- Select the appropriate Major Category and Subcategories of the asset you are creating.
If you do not see the categories you need, refer to Categories for information on setting up asset categories and subcategories.
NOTE: Consumable assets must be set up as their own Major Category with a Category Type of "Consumables". Refer to the article on Categories linked above for more information.
Depending on the Category Type selected, you may see a new field to choose the appropriate Telematics.
- 5
- Assign the asset within your Org Chart.
For users with the Data Access Control premium feature: When you assign an asset to a particular level in your Org Chart, you give access to the asset's data to users assigned to that same level in the Org Chart. See Data Access Control Overview for more information.
You can also assign the asset to a particular user in the "Assignee" field.
- 6
- Fill in all of the asset information on this form.
Enter all required information as indicated by the bold* asterisk and fill out all additional information as known.
While not all fields are required, most are highly suggested to help you get the full value of the platform. Most fields on the asset form relate to calculations or other areas in the system.
NOTE: The form fields change depending on the selected category type of the Major Category as well as whether the asset is marked as owned or rental. Refer to Category Types Overview for more information on the applicable form fields for each category type.
- 7
- Click on "Create Asset" on the bottom right.
This button will become enabled once all Required Fields* have been populated. If you haven't completed all required fields, the system will indicate which fields need to be completed.
How to Edit an Asset
Permission Requirements: Users with the "Edit/Update Asset" permission can edit assets.
Assets can be edited to update specific properties or to populate fields that may have been left blank when the asset was added to Tenna.
Assets that were added from the Tenna App have additional required fields that need to be filled in by the Equipment Manager in Tenna on a desktop.
NOTE: If you want to perform a "bulk edit" to your assets, reach out to Customer Support via [email protected] or call 888.836.6269.
- 1
- Find and select the asset you need to edit to view its Asset Details page.
- 2
- Click "Edit Asset" on the top left side of the screen.
- 3
- Make your edits.
Be sure all required fields have the data. If you remove data from a required field and do not re-fill it, you will not be able to save your updates.
- 4
- When you are finished, scroll down and click "Update Asset" on the bottom right side of the screen.
You will receive a success message upon completing your update.
How to Delete an Asset
Permission Requirements: Users with the "Delete Asset" permission are able to delete assets.
An asset you may no longer have, want or need can be deleted. The most common reason for deleting an asset is if a duplicate asset was entered.
Important! The best practice for an asset that is no longer in your possession is to change it's designation to "disposed" and mark it with a disposed status. This allows you to keep the asset in your system and retain its history for future reporting purposes. This is the recommended path forward for all assets, including rental assets.
- 1
- Select "Assets" from the left-hand navigation bar.
- 2
- Select the asset(s) you would like to delete by clicking the checkbox to the left of each asset.
- 3
- Click "Delete" on the top of the page.
Important! Deleting an asset from the system disassociates its tracker and removes the asset from the system. If you did not intend to delete your asset, Contact Tenna to have your asset restored.
- 4
- Click "Delete" on the popup window to confirm.
Once confirmed, the asset will no longer appear in the asset list.
If the deleted asset was the Primary Asset in a Group, the group will become disbanded.
If the deleted asset was a Secondary Asset in a Group, it will no longer appear in the group.
