How to View Inspection Reports (App)

How to view submitted inspection reports (Pass, Fail, and DVIR) in the Tenna App. These reports include details on the asset, inspector, results, etc. This article also details how to fix FAIL items on an inspection report.

Note: Inspection Reports only include submitted inspections (including DVIR). To view Missed Inspections, view How to View Missed Inspections (Desktop).

Permission Requirements:

  • Users with the “View Inspection Reports” permission can view inspection reports and details.
  • Users with the "Amend Inspection Reports" permission can fix FAIL items on an inspection report.

Note: If Data Access Control is enabled, users will only see reports for assets that they have data access to.

Inspection Reports can be viewed for each individual asset in the Tenna App .

To view an asset’s Inspection Reports, go to the Asset Details page.

Scroll to the Inspections tab by swiping left under the Asset header.

Select the inspection you would like to view.

Passed inspections will show a green check icon, while Failed inspections will show a red x icon.

Pro Tip! Utilize the search bar at the top to search for an inspection by Title or Inspector.

Tap on an Inspection Report to open and view.

The Inspection Details page in the Tenna App includes the following information:

Note: Not all of the information below may be shown/available, depending on the status of the inspection, the type of asset, and/or the chosen fields during the inspection form creation.

  • Asset Details: Photo, Asset Name, Fleet No, Category, and Assignee.
  • Form Name: What type of inspection form was completed and submitted
  • Frequency: This will represent the frequency as configured for that specific asset.

Note: This may differ from the default frequency associated with the inspection form if the frequency was changed when assigned to the asset.

Pro Tip! Inspections with a Custom Frequency will include an info icon. Tap on the icon to view the custom frequency details.

  • Inspection Info Section:
    • Start Date & Time: Date and time the form was started
    • Submitted At: Date and time the form was submitted (inspection completed)
    • Submission Location: Lat, Long coordinates where the asset was at time of inspection
      • Tap on the coordinates to copy the address or open the address in maps
    • Site Inspected At: Site Name where the asset was at time of inspection
    • Driver/Inspector: Name and job title of the user that completed the inspection.
    • Odometer Reading: Odometer reading at the time of inspection.
    • Hours: Hours reading at the time of the inspection.
    • Resubmitted By (if applicable): If the inspection was re-submitted (failed items were fixed and the inspection was re-submitted), then this field will show the name and job title of the user who re-submitted.
    • Resubmitted At (if applicable): If the inspection was re-submitted (failed items were fixed and the inspection was re-submitted), then this field will show the date and time that the inspection was re-submitted.
    • Recertified By (if applicable): If the inspection was re-certified (re-submitted inspection was approved), then this field will show the name and job title of the user who re-certified.
    • Recertified At (if applicable): If the inspection was re-certified (re-submitted inspection was approved), then this field will show the date and time that the inspection was re-certified.
    • Labels: Existing applied labels and the option to add Labels.
  • Inspection Items Sections: These sections will show each inspection section and the individual inspection items that were completed, along with their outcomes (pass, fail, or no response)

Pro Tip! To fix FAIL items on the inspection, tap the pencil icon. Enter details for how the item was fixed. Include photos of the fixed item, as necessary. Tap “Submit”. The status will now say FIXED.

Note: This requires the Amend Inspection Report permission.

Tap on the icons under each item to view notes, attachments, or photos.

  • Signatures: Signatures, names, and job titles of any mechanics and/or users who resubmitted or recertified the inspection.
    • Scroll by swiping left to view multiple signatures.
  • General Comments: Responses to any general comments.
  • Photos: Any photos attached to the inspection report. These could have been added by the inspector or mechanic.
  • Attachments: Any attachments added to the inspection report. These could have been added by the inspector or mechanic.
