Utilization Permissions and Configurations Overview

The Utilization Permissions and Configurations are settings that must be set up properly so that the Utilization feature flows efficiently and effortlessly for your organization. The following will review all available Utilization permissions and configurations, as well as best practices for setting them up for your company.

Permission Requirements:

  • Power Users may access and edit all permissions and configurations.
  • Users with the “Manage Permissions” permission enabled may configure Utilization permissions.
  • Users with the “Manage Configurations” permission enabled may edit Utilization Configurations.

Utilization Permissions Overview

The following permissions are available for Utilization:

Asset Utilization View utilization information for assets
Site Utilization View utilization information for sites

Other suggested permissions needed for Maintenance:

Manage Configurations This is necessary to edit the Utilization configurations
Manage Categories This is necessary to apply Utilization Rules to category types
Create Sites and Edit Sites Create and manage Site Utilization Overrides  
View Asset Hours With edit checked are able to manually update asset hours to calculate utilization for assets without a Tenna tracker

Utilization Configurations Overview

There are various configurations in the account Settings that can further customize the Utilization workflow for your organization.

Utilization Rules and Site Overrides

A utilization rule is a configuration that tells Tenna how to calculate and assign daily “active hours” and expected work hours for assets, so you can measure utilization consistently.

A site utilization override is a site‑level setting that overrides the asset category’s chosen utilization rule only for how utilization is calculated for that specific site (Site Utilization).

Instead of a site using the configured work hours per day as set for a particular Utilization Rule, users can “override” those for a particular site.

Company Time Zone

The account time zone plays into the way an asset's active hours are grouped into days and applied to Utilization Rules and Site Overrides, which can change which day utilization appears on and when new settings start affecting results.

Low Utilization Threshold Mark

The Low Utilization Threshold Mark is a target percentage you set to flag assets or sites that are being underused. When an asset’s or site’s utilization falls below this threshold, Tenna highlights it as “low utilization” so you can quickly spot equipment that may be idle, oversized for the job, or ready to be reassigned or off‑rented.
